Acts as the central operational hub for the Colleges. The role is responsible for supporting the integrity and effective delivery of academic programs through curriculum and student record management, while providing high-level administrative support to faculty and college leadership.
ESSENTIAL DUTIES & RESPONSIBILITIES:
· Maintain College calendars, deadlines and task trackers.
· Schedule meetings with confirmed time and location.
· Follow routine workflows and escalate delays or risks.
· Organize physical and electronic filing and e-files using approved classification, version control and retention.
· Prepare meeting documents and minutes and track actions.
· Coordinate student communication, interviews (if required), onboarding, and orientation, and routine enquiries.
· Respond to routine enquiries, provide verified guidance and refer complex cases to the Program Coordinator.
· enter approved adviser assignments in Emada; generate or print study plans and timetables.
· Support equalization, attendance follow-up, academic standing and transcripts.
· Monitor completion requirements, identify gaps, and coordinate graduation and clearance.
· Maintain approved course offerings, sections, program structures, syllabi, handbooks, checklists, and authorized updates.
· Maintain rooms and upload timetables to the eMada System. Ensure all courses are assigned to classrooms according to the enrolled student numbers per course.
· Maintain verified data in Emada / related systems and faculty data including workloads and access.
· Check submitted course files and academic data for completeness and follow up missing information with faculty.
· Provide administrative support for program evaluation, benchmarking, reporting and improvement activities.
· Provide administrative support for evidence preparation and visit logistics, as required.
· Provide administrative support for action tracking and follow-up, as required.
QUALIFICATIONS & EXPERIENCE:
· Bachelor's degree in Business Administration, Education Administration, Management, Information Systems, or a related field.
· Minimum of 2 years of relevant experience.
KNOWLEDGE & SKILLS:
· Fluency in English and Arabic is preferred
· Ability to plan, organize and develop
